Creating an Outlook Series

Just like MRM, the Outlook Add-in can accommodate complex recurring and multi-resource reservations. 

 

Outlook Recurrences

 

  1. In Outlook, select New to launch a new appointment form.

  2. Enter the date and time for the new meeting.  Select the Recurrence option.

 

 

  1. Enter the recurrence pattern in the Appointment Recurrence window. 

 

 

  1. The End By option typically defaults to No End Date.  You must select either a number of occurrences or an end date, as MRM does not allow an unlimited recurrence.  Click OK when finished.

  2. Select either the Scheduling Assistant to add attendees or the MRM Tab to select a resource.  In the MRM Tab, notice that you cannot edit the date or time.  When the recurrence option is enabled, changes to date and time can only be made in the Appointment Tab.

  3. Enter reservation details and Save and Close or Send Invitation.

 

Resolving Conflicts in the Add-in

 

The MRM Add-in does not offer the Find Available Resources feature making it more likely that a recurring reservation will encounter conflicts that need to be resolved.  The conflict resolution process in the Outlook Add-in is very similar to the process in the Web Client.

 

  1. Create a recurring reservation in Outlook and select an MRM Resource.  Complete all reservation details and Save and Close or Send Invitation.

  2. If a conflict exists, MRM will generate the Meeting Conflict window.

 

  1. Click directly on the red X to generate a list of available resources.  Or you can select OK to skip the conflict and omit that date from the recurrence.

 

  1. Highlight the resource you want to reserve, and click OK.  The Meeting Conflict window is updated with the selected resource.  This resource and date is known as an “exception” as it is an exception to the standard pattern.

 

  1. Click OK.  The reservation will save and close and invitations will send to attendees if required.

  2. Expand the MRM Menu and select Sync to update the display on all calendars to show the assigned resources and exceptions.

 

   A manual Sync (select Sync in the MRM menu) is required after conflict resolution in the Add-in to update the display in all calendars to accurately show the reserved resources.
